Endorsement Process

Provided below is an overview of the KAVA CRM Endorsement Process. Follow the steps below and
tick the corresponding checkboxes in CRM when you are finished with each step.

1.  Send Request for Quote to Insurer

If necessary, please request from the current insurer a quote for the required endorsement. 

When completed, ✅  the Request for Quote Sent to Insurer checkbox or specify as 'N/A'.

2.  Obtain Quote from Insurer

3.  Send Quote to Client

Please wait for the insurer to submit their quote for the required endorsement.

Once received, please enter the quote details in the Insurer Response section. Income will be automatically calculated as the sum of the Broker Fee and Commission. Also, note any special conditions relating to the endorsement.

When completed, ✅  the Quote Obtained from Insurer checkbox or specify as 'N/A'.

If the insurer declines cover for the requested endorsement, ✅  the Declined by Insurer checkbox and specify a Reason for Declination. The Endorsement Process will then be considered completed. The Quote Rejected/Declined Date will be updated automatically and will be shown in the Dates section.

Once the insurer has submitted their quote for the required endorsement, please send the quote to the client.

When completed, ✅  the Quote Sent to Client checkbox or specify as 'N/A'.

If the insurer declines cover for the requested endorsement, then tick the Declined by Insurer checkbox and specify a Reason for Declination. The Endorsement Process will then be considered completed. The Quote Rejected/Declined Date will be updated automatically. This is shown in the Dates section.

4.  Update as Accepted or Rejected

Please await confirmation from the client that they wish to proceed with cover for the endorsement. Please follow-up with the client if you have not heard back from them within a reasonable timeframe.

When you have confirmed with the client, ✅  one of the following checkboxes:
- Accepted by Client
- Rejected by Client

If Accepted by Client, continue on with the Endorsement process. If Rejected by Client, please specify a Reason for Rejection and the Endorsement Process will then be considered completed.

The Quote Accepted Date or Quote Rejected/Declined Date (as appropriate) will be updated automatically. These are shown in the Dates section.

5. Confirm Cover

If the client has confirmed that they wish to proceed with the endorsement, confirm cover with the insurer.

When completed, ✅  the Cover Confirmed checkbox or specify as 'N/A'.

6.  Process Invoice

Now that cover has been confirmed with both the client and the insurer, please process the invoice in the policy system and send the relevant documents to the client. 

When completed, ✅  the Invoice Processed checkbox or specify as 'N/A'.

7.  Send Closing

Please send the closing details to the client. 

When completed, ✅  the Closing Sent checkbox or specify as 'N/A'.

8.  Adjust Premium Funding

If required, please adjust the premium funding arrangements for the endorsed policy. 

When completed, ✅ the Premium Funding Adjusted checkbox or specify as 'N/A'.

9.  Send CoC to Client

Please send an updated Certificate of Currency to the client for their policy. 

 

When completed, ✅  the CoC Sent to Client checkbox or specify as 'N/A'.

10.  Complete Endorsement Process

Please complete any outstanding actions to finalise the endorsement. 

When completed, ✅  the Endorsement Complete checkbox or specify as 'N/A'.

This completes the Endorsement Process. The Process End Date will be updated automatically. This is shown in the Dates section.
